The Assistant to the Director of the Early Learning Center is responsible for administration of the Lee University Early Learning Center.  The Assistant to the Director will work closely with the Director to provide the quality of care and learning for which the Center is known for.  The Director and Assistant share responsibility for planning and implementing the programs for the Center to continue to meet licensing requirements.  This Assistant to the Director reports to the Director of the Early Learning Center.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assist in recruitment of staff as well as working with DHS to get each new employee cleared to work at the ELC.
  • Keeping records for all staff, student workers, and children of the ELC.
  • Manage and plan communication with staff for training, time entry, meetings, changes in schedule, etc.
  • Create a work schedule for employees and student employees from semester to semester.
  • Provide support to all classrooms when needed. This includes covering lunches and breaks, teacher absences, extra assistance in classrooms.
  • Assist when needed for covering Special and Public Events as well as some night and weekend events.
  • Assist the Director in providing the center with flexible work hours on a day-to-day basis, opening or closing the ELC when needed.
  • Work with Director to handle parental concerns and questions which may include behavioral issues or injuries, convey established policies and keep parents informed of any changes, as well as communicate with parents of events and updates about the Center.
  • Maintain certification through the State of Tennessee Department of Education which includes maintaining overall physical requirements for the program, personnel records of all staff to ensure licensure is continued, health records for all students, and keep staff and children files up to date.
  • Manage the financial requirements recording tuition or material fees received from parents. This also includes preparing tax forms at the beginning of the year for all parents.
  • Work together with the Director in ordering and paying for goods and services.
  • Reconcile purchasing cards monthly.
  • Work with the Director to plan and implement safety programs and training of all staff and includes writing policies and plans for emergency situations as well as communicating to staff and parents.
  • Responsible to oversee (Open and Close) the Early Learning Center in the Directors absence.
  • Maintain the parent board/sign-in sheets on a weekly basis.
  • Maintain staff and students’ time off requests.
  • Other duties as assigned by Director.

QUALIFICATONS

  • This position requires a trustworthy, patient, detail-oriented, organized personality with multi-tasking management skills.
  • Must be a good listener, open to constructive criticism, and have the ability to manage and deal with conflict.
  • Must be able to maintain composure during emergency situations and should be able to assist and lead Director and staff with training opportunities for new staff.
  • Have the ability to set and attain professional goals.
  • Must be able to implement appropriate behavior management techniques and learn to implement the style of behavior management which is used by ELC in addition to having the ability to brainstorm ways to overcome issues and/or problems.
  • A working knowledge of the Tennessee Rules and Guidelines of Childcare as well as the Tennessee Licensure Rules is required.
  • A basic knowledge of Microsoft Word and Excel are required.

EDUCATION and/or EXPERIENCE

  • 1-3 years clerical experience.
  • A minimum of 2 years of experience in a childcare facility is preferred.
  • High school diploma/GED.
  • Bachelor’s degree preferred.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to walk and talk and to hear and see. The employee is required to stand, walk, and reach with hands and arms.  Squatting for meeting students at eye level is often required. Bending and picking up children as well as carrying them is often required.

  • Standing: 20%

  • Squat: 10%
