Enrollment and Advising Secretary for the School of Nursing

The Enrollment and Advising Secretary is responsible for assisting the Enrollment and Advising Specialist with daily operations. This is a full-time, hourly position (40 hours per week).

Education and Work Experience

The Enrollment and Advising Secretary should have a high school diploma AND two years of experience in an administrative office, preferably in an academic setting, including customer service experience. Associate of Science degree in business administration or certification in office administration preferred. Must be familiar with database management systems, including reporting, and proficient with web-based, mobile, and PC applications, including but not limited to Microsoft Office. A high degree of proficiency is required in Microsoft Word, Excel, and Outlook.

Performance Requirements

The Enrollment and Advising Secretary is one of two secretarial positions in the School of Nursing (SON); as such, this person comes under the supervision of the Dean of the SON and the Executive Secretary to the Dean. The Enrollment and Advising Secretary reports directly to the School of Nursing (SON) Enrollment and Advising Specialist and provides service to faculty and students of the Lee University community with the following performance expectations:

  • Communicates effectively and establishes appropriate relationships with co-workers
  • Manages tasks promptly, prioritizes responsibilities and meets deadlines
  • Maintains confidentiality with faculty and student records according to FERPA requirements
  • Responds to faculty and staff needs in a timely and professional manner
  • Handles interruptions calmly and professionally
  • Works independently and efficiently within established protocols
  • Keeps accurate records, composes timely reports and ensures reliability and completeness of information

Essential Functions

  • Acts as receptionist for the enrollment and advising office of the School of Nursing
  • Maintains filing for the enrollment and advising office of the School of Nursing
  • Assists the SON Enrollment and Advising Specialist with daily operations of the office
  • Assists the SON Enrollment and Advising Specialist with preparing semester class schedules for students of the School of Nursing
  • Answers inquiry emails and telephone calls to the School of Nursing
  • Contacts and communicates regularly with prospective nursing students
  • Assists with maintaining School of Nursing applicant and student databases
  • Provides tours of the School of Nursing facility
  • Coordinates with the office of Admissions regarding prospective students
  • Assists the SON Enrollment and Advising Specialist with scheduling student meetings and prospective student visits
  • Assists applicants with the School of Nursing application packet requirements
  • Represents the School of Nursing at campus events as requested
  • Assists with supervision and training of student workers
  • Tracks and manages office supplies and promotional materials for Enrollment and Advising office; submits requests to Dean’s assistant
  • Reports maintenance and custodial needs to the SON Secretary or Dean’s Assistant
  • Establishes long and short term goals for self
  • Performs related duties as assigned
